1. Bookings and confirmations

1.1 All journeys must be booked in advance and are subject to availability.

1.2 A booking is confirmed once we have accepted the booking and provided confirmation of the agreed journey details and fare.

1.3 When booking, customers should provide accurate information, including the collection address, destination, date, pickup time, number of passengers, luggage requirements and a contact telephone number.

1.4 Customers must inform us of any additional stops, special requirements, accessibility needs or changes to the original booking as early as possible.

1.5 We reserve the right to decline a booking where we cannot safely or lawfully provide the requested service.

2. Fares and payments

2.1 The fare will be agreed at the time of booking. Unless otherwise stated, prices are quoted in pounds sterling (£).

2.2 Our quotations will specify whether airport drop-off charges, tolls and other applicable journey charges are included.

2.3 Additional charges may apply where the customer requests extra stops, changes to the route, extended waiting time or other services outside the original agreement. Any additional charges will be communicated before they are incurred wherever reasonably practicable.

2.4 Payment terms, including any deposit, advance payment or balance due, will be confirmed when the booking is accepted.

2.5 Where advance payment is required, payment must be received by the agreed deadline. We may cancel an unpaid booking after giving reasonable notice.

2.6 Customers are responsible for additional charges arising from their own requests or actions, including parking charges resulting from extended waiting or changes to the agreed itinerary, where these have been disclosed or agreed.

3. Return bookings

3.1 Return journeys must be agreed at the time of booking, with the collection details, destination, dates and applicable fares confirmed in advance.

3.2 Any changes to a booked return journey are subject to availability and may result in a revised quotation.

3.3 If either leg of a return booking is cancelled, the cancellation terms set out in Section 4 will apply.

3.4 Any applicable fares, charges or refunds will be calculated in accordance with the confirmed booking and these Terms & Conditions.

4. Cancellations and amendments

4.1 Customers should contact JS Executive Travel as soon as possible if they need to amend or cancel a booking.

4.2 Cancellations made within 4 days (96 hours) of the scheduled collection time: If a booking is cancelled within 96 hours of the agreed collection time, a cancellation charge of 50% of the total agreed booking fare will apply, subject to applicable law.

4.3 Where payment has already been made, we will retain 50% of the total agreed booking fare and refund the remaining balance, where applicable. Where payment has not yet been made, the applicable cancellation charge may be invoiced.

4.4 Cancellations made more than 4 days (96 hours) before the scheduled collection time will not normally incur a cancellation charge, unless otherwise agreed at the time of booking or non-recoverable third-party costs have been incurred and are lawfully recoverable.

4.5 Cancellation charges will be applied fairly and proportionately, taking into account the circumstances of the cancellation, the costs incurred, any loss reasonably arising and applicable consumer law.

4.6 Changes to collection times, addresses, destinations, passenger numbers or journey requirements are subject to availability and may result in a revised quotation.

4.7 We will make reasonable efforts to accommodate amendment requests but cannot guarantee that changes will be possible.

4.8 Nothing in these terms excludes any cancellation, refund or other rights that customers may have under applicable law, including any statutory rights that apply to distance bookings.

5. Airport transfers, flight delays and waiting time

5.1 Customers should provide accurate flight details when requesting an airport pickup.

5.2 Where flight monitoring is available and flight details have been supplied, we will make reasonable efforts to take account of notified arrival changes.

5.3 Customers should contact us as soon as possible if a flight is cancelled, diverted or significantly delayed.

5.4 Complimentary airport waiting time: For airport collections, JS Executive Travel includes up to 60 minutes of complimentary waiting time from the passenger's actual flight landing time, allowing reasonable time for disembarkation and baggage collection.

5.5 Additional airport waiting charges: If the passenger has not arrived at the agreed meeting point within the complimentary 60-minute period, additional waiting time will be charged at a discounted rate of £40 per hour, compared with our usual chauffeur hire rate of £65 per hour. Charges may be calculated proportionately for part of an hour.

5.6 Where a flight is delayed, we will make reasonable efforts to monitor the updated arrival time where flight details have been provided. The complimentary waiting period will begin from the actual landing time rather than the originally scheduled arrival time.

5.7 Passengers should contact us as soon as reasonably possible if they experience significant delays after landing or are unable to reach the agreed meeting point.

5.8 This waiting-time policy is subject to airport access restrictions, parking rules and any circumstances outside our reasonable control. Applicable airport parking charges incurred during additional waiting may be charged separately where disclosed or agreed.

5.9 Airport pickup arrangements, including terminal meeting points and any meet-and-greet service, will be agreed in advance.

5.10 Airport drop-off, parking and access charges will be included in the quotation or identified separately where applicable.

6. Punctuality and journey times

6.1 We aim to provide a punctual and professional service and will make reasonable efforts to arrive at the agreed collection point on time.

6.2 Journey times are estimates and may be affected by traffic, road closures, weather, accidents, airport congestion and other circumstances outside our reasonable control.

6.3 Customers should allow sufficient time for airport check-in, security, boarding, appointments and other onward commitments.

6.4 We cannot guarantee arrival at a specific time where circumstances outside our reasonable control cause delays. This does not affect any rights or remedies available to the customer under applicable law.

6.5 If we anticipate a significant delay, we will make reasonable efforts to inform the customer.

7. Passenger numbers and luggage

7.1 Passenger numbers must be declared when booking and must not exceed the vehicle's legally permitted seating capacity.

7.2 The Mercedes-Benz V-Class is offered subject to the vehicle's approved seating configuration, passenger capacity and luggage space.

7.3 Customers must advise us in advance of unusually large suitcases, golf clubs, pushchairs, mobility equipment or other bulky items.

7.4 We cannot guarantee that all luggage will fit unless the quantity and dimensions have been confirmed in advance.

7.5 We may refuse to carry luggage or other items that create a safety risk, obstruct the driver or exceed the vehicle's available capacity.

7.6 Child seats or other specialist equipment must be requested in advance. Availability must be confirmed before the booking is accepted.

8. Passenger conduct, cleanliness and vehicle damage

8.1 Passengers must behave respectfully towards the driver and other road users and follow reasonable safety instructions.

8.2 Seat belts must be worn as required by law.

8.3 Smoking and vaping are not permitted inside the vehicle.

8.4 Passengers must not consume food or drink in the vehicle without the driver's permission.

8.5 Illegal substances, dangerous items and other prohibited articles must not be brought into the vehicle.

8.6 Customers may be charged reasonable costs for cleaning, repairs or damage caused by a passenger, where the cost is evidenced and the charge is lawful and proportionate.

8.7 We reserve the right to terminate a journey where a passenger's behaviour presents a genuine safety risk, involves unlawful conduct or makes it unsafe to continue. Where a journey cannot safely continue, we will stop at an appropriate location where reasonably practicable.

8.8 Cleaning, soiling and vehicle contamination

Passengers are expected to treat the vehicle with care and leave it in a reasonable condition following their journey.

If a passenger vomits, spills substances, causes excessive mess, soils the vehicle or contaminates any part of the vehicle's interior, including seats, carpets, upholstery or other fittings, the customer may be charged for the reasonable and evidenced cost of specialist cleaning, valeting, sanitisation or repairs required as a result.

Where the vehicle must be taken out of service for cleaning, sanitisation or repairs, we may also seek to recover reasonable and evidenced losses directly resulting from the incident, including lost bookings, where legally recoverable.

Any charges will be proportionate to the actual costs and losses incurred, taking into account the circumstances of the incident. We may request payment after providing details of the relevant charges.

Passengers should inform the driver immediately if an incident occurs so that appropriate cleaning and safety measures can be arranged.

Nothing in this clause excludes any rights or protections available to customers under applicable consumer law.

9. Safety, accessibility and assistance

9.1 We aim to provide a safe, courteous and professional chauffeur service.

9.2 Customers should advise us of relevant mobility requirements, assistance needs or accessibility arrangements before booking so that we can confirm whether we can accommodate them.

9.3 Passengers are responsible for supervising children and ensuring that any information necessary for safe transport is provided.

9.4 We will comply with applicable private hire licensing, vehicle safety and passenger transport requirements.

10. Lost property

10.1 Customers should check the vehicle before leaving.

10.2 If an item is found after a journey, we will make reasonable efforts to contact the customer where their details are available.

10.3 Return or delivery of lost property may incur a reasonable, agreed charge for additional mileage, postage or delivery.

10.4 We cannot guarantee the recovery of lost property and are not responsible for items left in the vehicle, except where liability arises under applicable law.

11. Delays, breakdowns and circumstances outside our control

11.1 If a vehicle breakdown, driver emergency or other unforeseen event affects a booking, we will make reasonable efforts to arrange an alternative vehicle or suitable solution where possible.

11.2 We are not responsible for circumstances beyond our reasonable control, including severe weather, road closures, accidents, industrial action, emergency restrictions or airport operational disruption.

11.3 If we are unable to provide the booked service, we will communicate with the customer and arrange an appropriate refund for services not provided, subject to applicable law.

11.4 Nothing in this section excludes liability that cannot lawfully be excluded.

12. Liability

12.1 We will exercise reasonable care and skill when providing our services.

12.2 Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any other liability that cannot lawfully be excluded or limited.

12.3 Subject to applicable law, we are not responsible for indirect losses arising from delays or missed connections where those losses are not legally recoverable.

12.4 Customers should ensure they have appropriate travel insurance where necessary, particularly for flights, events or other onward arrangements.

13. Welcome offer Terms & Conditions

13.1 The JS Executive Travel welcome offer entitles eligible new customers to £10 off the final price of their first trip.

13.2 The welcome offer can be used once per customer and applies to their first booking only.

13.3 The £10 welcome discount will be deducted from the final agreed fare at the time of booking.

13.4 The welcome offer is non-transferable and cannot be exchanged for cash or any other benefit.

13.5 The offer is subject to availability and may be withdrawn or amended for future bookings at our discretion. Any changes will not affect offers already accepted for confirmed bookings.

13.6 JS Executive Travel reserves the right to refuse or withdraw the offer where there is evidence of misuse or attempted abuse.

13.7 These terms do not affect any statutory rights available to customers under applicable law.

14.2 Please provide your booking details, journey date and a description of your concern so that we can investigate.

15.1 We collect and use customer information where necessary to manage bookings, provide transport services, communicate with customers and meet our legal obligations.

15.2 Personal information will be handled in accordance with applicable UK data protection legislation and our Privacy Policy.

15.3 Customers can contact us to ask questions about how their personal information is handled.

16. Changes to these terms

16.1 We may update these Terms & Conditions from time to time.

16.2 The version applicable to a particular booking will ordinarily be the version provided or made available when that booking was confirmed, unless a change is required by law or otherwise agreed.
